How to reuse email templates in any email app on Windows

Updated: 28.10.2026

Most email apps have some kind of template feature, but it usually lives three clicks deep and only works in that one app. A simpler way is to keep your email templates in one place and paste them anywhere with a few keystrokes.

Why built-in templates fall short

  • They are tied to one app. Templates saved in webmail don't exist in your desktop client, your CRM or your help desk.
  • They are slow to reach: open a menu, find the list, pick the template.
  • They usually paste a whole message, not the one paragraph you actually need.

Templates that work in every app

With a text expander such as SnippyText, a template is just a snippet. It works in browser webmail, desktop email apps, chats and any text box on Windows, because it is pasted the same way you would paste text yourself.

Set up your first email template

  1. Open the SnippyText manager and create a folder called Email.
  2. Click + New and paste your template text.
  3. Give it an abbreviation, for example ;meet for a meeting confirmation.
  4. In any email, type ;meet and the text appears.

Make templates personal with variables

Templates feel robotic when every email reads the same. Variables fix that:

  • {input:Name} asks you for the person's name before pasting and puts it in the right place.
  • {date} inserts today's date.
  • {clipboard} inserts whatever you copied, such as an order number.
  • {cursor} puts the cursor where you will type next, for example after “Hi ”.

Example template:

Hi {input:Name},

Thank you for your order {clipboard}. It is being prepared and will ship within two working days. You will get a tracking number by email as soon as it leaves our warehouse.

{cursor}

Best regards,
Anna

Formatting, images and attachments

Email often needs more than plain text. In SnippyText the Large text format has a visual editor with bold text, lists, links, tables and images, and you can attach files to a snippet. Email apps keep the formatting when you paste.

Five templates worth creating today

  1. A meeting confirmation with date, time and link.
  2. “Thanks, received, I'll get back to you by…”
  3. A polite follow-up when someone hasn't answered.
  4. Your payment or bank details.
  5. Your out-of-office note.
