How to insert your email signature anywhere on Windows
Updated: 28.10.2026
Email apps add a signature automatically, but only in that app. When you reply from a different account, a browser, a help desk or a CRM, you end up typing your name, title and phone number again. Here is how to paste the same signature everywhere.
Save your signature once
- Open the SnippyText manager and click + New.
- Choose the Large text format if you want formatting, a logo or links. For plain-text chats, a regular snippet is enough.
- Paste or type your signature.
- Give it an abbreviation such as
;sig.
Now type ;sig at the end of any message and the signature appears.
Several signatures, one habit
Many people need more than one: a full signature for new contacts, a short one for replies, and one in another language. Create each as its own snippet: ;sig, ;sigs for the short version, ;sigde for German. Or put them in one folder and open it as a menu with a hotkey.
Add the date or a greeting automatically
A snippet can contain variables. For example:
{cursor}
Best regards,

The {cursor} variable places the cursor above the signature, so you can type the message right away.
Where formatting is kept
Email apps, word processors and most web editors keep bold text, links and images. Many chat apps accept plain text only and paste the text without formatting, which is usually what you want there anyway.
